Your Google Ads report says conversions are increasing, but your sales team says the enquiries are going nowhere. Before increasing the budget or blaming the campaign, check whether both teams are counting the same outcome. A phone-number click, a submitted form, a genuine prospect and a signed project are four different things.

For a South African service business, useful Google Ads lead quality tracking connects advertising activity with a practical sales process. It should help you identify which enquiries are worth pursuing without turning the website into an unnecessary data-collection exercise. Here is how to build that measurement plan before making expensive campaign decisions.

Define a qualified enquiry with your sales team

Do not start by choosing a tracking tool. Start by asking what makes an enquiry commercially relevant. An installation company might need a service address inside its coverage area, an appropriate project type and a reachable decision-maker. A software business might need a workable requirement and a buyer who understands that development is a scoped project rather than a free app download.

Keep the definition short enough for staff to apply consistently. A useful first version is: a real person, seeking a service we supply, in an area we serve, with enough information for an informed next conversation. Add project-specific requirements only when they help the team decide what to do next.

Agree what is not yet known. Someone who has not supplied a budget is not automatically a poor lead. They may need advice before establishing one. Separate an incomplete enquiry from spam, a job application, a supplier pitch or a genuine mismatch. Those distinctions point to different campaign or website improvements.

Map the journey before adding more conversion events

Write down the steps a prospect can take from advert to sale. For a typical service campaign, that might be landing-page visit, form submission, successful record creation, first response, qualification, quotation and acceptance. Your business may use a different sequence. The important point is that each step has a clear meaning and an owner.

Then compare the map with the events currently counted in the advertising account. A WhatsApp link click shows an intention to open a conversation, not proof that a message arrived. A thank-you page can be useful evidence of a form journey, but it should not be treated as proof that the CRM record and notification were both created.

Test these journeys with clearly labelled internal enquiries. Confirm the page response, stored lead record, notification destination and sales-team visibility. Avoid repeatedly submitting ordinary-looking test leads to a live inbox; agree a controlled test process and remove or label test records through the system’s normal workflow.

Choose conversion actions that match the business goal

Google’s primary and secondary conversion guidance distinguishes actions used for bidding and main conversion reporting from observation-only actions. Custom goals can affect how actions are used, so inspect the campaign’s actual goal settings rather than relying on the label alone.

For a lead-generation account, do not mark every interaction as an equally valuable success. A contact-page view and an accepted quotation do not represent the same commercial outcome. Decide which actions are reliable enough to guide optimisation and which are supporting diagnostics.

A business with a long sales cycle may initially need to measure a dependable enquiry stage while it builds a consistent qualification process. Another business may already have enough reliable downstream information to use a deeper stage. Choose with your campaign specialist based on data quality and the actual sales journey, not an assumption that the deepest possible event is always the best immediate choice.

Keep website and sales records connected

Give each stored enquiry a stable reference. Staff should be able to find that record when the prospect calls back, changes requirements or accepts a quote. Avoid creating a new sales record every time someone follows up through another channel without checking for an existing conversation.

Where the chosen tracking setup supports it, retain the appropriate campaign attribution information alongside the enquiry. Document which fields are needed, how they are captured and who can access them. Do not add email addresses or phone numbers to ordinary page URLs, analytics event names or public reports.

Google provides qualified-lead and converted-lead conversion categories for reporting progress beyond an initial enquiry. Implementing a suitable connection back to the advertising platform is a separate technical task. It requires checking current platform requirements, permitted data handling and whether the selected integration actually supports the intended event.

Before automating anything, ask staff to maintain the same small set of statuses for a trial period. If one consultant uses “qualified” for a phone call and another uses it only after a signed brief, an automated upload will preserve that inconsistency rather than solve it.

Report quality as well as enquiry volume

Use a simple report with enquiries received, enquiries reviewed, qualified prospects, quotations and accepted work. Include unreviewed records so the team does not mistake a response backlog for a campaign problem. Group enquiries by when they arrived, and allow enough time for the normal sales cycle before comparing their outcomes.

Keep advertising spend separate from management fees, production work and other costs, then label the calculation you are using. As an illustration only, R4,500 of advertising spend divided by 15 qualified enquiries is R300 per qualified enquiry. That is not a South African market benchmark, and it says nothing by itself about project profitability.

For a meaningful decision, compare the result with contribution margin, sales capacity and the proportion of enquiries that are still waiting for follow-up. Do not divide this month’s spend by last month’s sales and call it a precise campaign acquisition cost. Those may be different groups of prospects.

Diagnose the reason before changing the campaign

If spam dominates, review the form safeguards and confirm that fake submissions are not being reported as useful outcomes. If many enquiries concern jobs, inspect search terms, advert wording and the destination page. If prospects repeatedly request a service you do not supply, clarify the offer before increasing traffic.

If enquiries are relevant but unreachable, check the contact details requested, form usability and response timing. A poor mobile form can produce incomplete information. A correct form can still lose business when notifications go to an unattended inbox or staff cannot find the enquiry in the dashboard.

Make one clearly defined improvement at a time where practical. Record the change date and what you expect to improve. That makes the next review more useful than a simultaneous rewrite of adverts, landing pages, bidding and qualification rules.

Common questions about Google Ads lead quality

Should a WhatsApp click count as a lead?

It can be measured as a useful interaction, but a click alone does not confirm a received conversation or a qualified prospect. Label it accurately and distinguish it from the later stages you can verify.

Why do sales and Google Ads show different totals?

They may use different event definitions, reporting dates, attribution settings or duplicate-handling rules. Start by matching a small sample of known enquiries and checking the configuration. Do not assume the difference proves either system is broken.

Will better tracking guarantee cheaper leads?

No. Better measurement supports better decisions, but demand, competition, the offer, the website and follow-up all matter. Treat tracking as operational evidence, not a promise of a particular acquisition cost.

Connect campaign management with lead handling

Ask for a measurement brief that explains what counts, where it is stored and who reviews it. Saglotech can discuss those requirements through its Google Ads management service. Use our landing-page checklist alongside this tracking plan, then schedule a consultation to review the campaign and enquiry journey together. Share the problem and current process, not passwords or raw customer data.
